Hourly Rate: $23.32 - $25.36
Position Summary:
Sea Mar Community Health Centers seeks a full-time Executive Assistant to join its IT department, located in South Seattle. The successful candidate will be mission driven and will be an example-setting, dedicated professional, solution-based problem solver, knowledgeable resource, aware connector, effective communicator and community-minded advocate. This position works in conjunction with the Chief Information Officer (CIO) in monitoring day-to-day operations of the IT department.
Duties and Responsibilities:
- Perform executive assistant duties for the CIO and assists IT Managers and Supervisors.
- Coordinate meetings, document meeting minutes, process timesheets and PTO requests, compile status reports and monthly reports.
- Reviews and tracks new hire packets, and payroll authorizations for the department.
- Assists CIO in reviewing and responding in a timely manner to regular state and county audits.
- Coordinates and manages all scheduling for CIO.
- Tracks contract deliverables and advises CIO of due dates in advance.
- Monitors check requests and payment for sub-contractors; keeps appropriate records. On occasion, may need to resolve accounts payables with vendors.
- Track and maintain IT purchasing and inventory management.
- Sorts and prioritizes departmental mail. Answers routine correspondence and telephone inquiries independently, advises CIO when appropriate
- Assists with updating and editing policies, at the direction of the CIO, or Sea Mar Administration. Distributes new policies.
- Coordinates and tracks renewal process for all IT licenses.
- Performs a variety of other related clerical duties as requested.
- Must be able to work with minimal supervision, use good judgment, maintain confidentiality, and prioritize workload.
- Other administrative and clerical duties and projects as assigned.
Qualifications and Education Requirements:
- Excellent organizational, verbal, and written communication skills.
- Self-starter and self-motivation.
- Must be able to solve problems and reason deductively.
- The person in this position will demonstrate professionalism and appropriate boundaries in all interactions.
- Must be computer literate and possess basic knowledge of standard office equipment.
- Must possess the ability to compose correspondence, memos, and reports in a professional manner.
- Must have strong customer service skills over the phone and in-person.
- Must be able to maintain confidentiality on all matters pertaining to the CIO, including HR, patient and business information.
- Proficiency with English grammar required.
- College degree or equivalent experience is required.
- Two to three years’ experience in an office setting, preferably in health care, is preferred.
- Must receive a satisfactory background check from the Washington State Patrol.
