Residency Program Coordinator - Posting #25348

Hourly Rate: $24.50 

Position Summary:

Full-time position available immediately for our  Residency Program in Vancouver. The Residency Program Coordinator, under the supervision from the BH Nurse Manager and direction from the Residency Program Director (PD) is responsible for assisting in the administration of the Nurse Practitioner Residency programs as outlined in their accreditation program requirements. The Residency Program Coordinator provides administrative support to the BH Nurse Manager and PD, Chief Residents, and provides support to faculty, residents and fellows. The Residency Program Coordinator additionally will interact with faculty, residents, medical students and institutional and regulatory administrative offices as directed by the PD and Designated Institutional Official (DIO). The position requires a detailed understanding of national accreditation policies and procedures. The Residency Program Coordinator is expected to be proactive and work with a high degree of initiative and independent judgment.

Essential Duties and Responsibilities

1. Coordinates the Nurse Practitioner Residency Program to include:

  • Administrative support to the Nurse Practitioner Residency Program Director and the Nurse Practitioner Residency Site Director.
  • Coordinate with the BH Nurse Manager to develop and finalize monthly clinic schedules for the residents.
  • Assist the BH Nurse Manager and Front Desk Supervisor to develop and implement a standardized process for rolling out monthly clinic schedules for the residents.
  • Troubleshoot and strategize resident schedules during unexpected last minute alterations (resident calling out, etc.)
  • Develop, implement, and oversee the maintenance and efficiency of filing, record keeping, distribution of materials, and other types of program systems.
  • Coordinate annual events for the program including recruitment, orientation, graduation, retreats, accreditation site visits, as well as various meetings and program-related events.
  • Distribute, collect, and tabulate all evaluation forms, support staff surveys, and patient feedback cards regarding residents and compiles and generates feedback for appropriate follow-up and reporting.
  • Maintain databases with resident and faculty data.
  • Track, report and ensure compliance with program requirements, credentialing, resident data, resident EMR login information, and billing audits
  • Serve as liaison between residents and program administration.
  • Handle highly confidential material for residency, faculty, and institution.
  • Coordinates the National Nurse Practitioner Residency & Fellowship Training Consortium (NNPRFTC)
  • Accreditation and Reporting Requirements:
  • Compile, update and submit reports to the NNPRFTC and other professional organizations as directed by the Program Director.
  • Compile, tabulate and report data for surveys, questionnaires, census reports, accreditation reports and other forms and documents required by internal and external agencies as directed by the Program Director.
  • Collect necessary information for developing appropriate database analysis tools to meet current NNPRFTC requirements.
  • Coordinate the NNPRFTC Accreditation site visit.
  • Collect, compile, submit and maintain all resident reports or projects.
  1. Recruitment of Residents:
  • Coordinate communication between applicants and program via e-mails, telephone and written correspondence.
  • Serves as an information source for the program, institution(s) and community.
  • Adhere to recruitment plan, time-line, guidelines, and policies and procedures for the department.
  • Maintain all interview materials used by faculty, residents and applicant.
  • Manage review of residency applications using the Form Assembly system as directed by the Program Director.
  • Coordinates all resident interviews and communications with applicants.
  • Coordinates applicants’ interview day.
  • Plans and arranges interview social activities.
  • Coordinate the resident ranking meeting.
  • Administers and reviews post-match survey to applicants, recommends changes to improve next year’s recruitment activities.
  1. Provides Administrative Support for Residents:
  • Advise residents on departmental/Sea Mar policies.
  • Attend resident meetings as requested.
  • Disseminate/distribute all training-related information for residents.
  • Coordinate social and retreat activities for residents.

 Conditions of Employment

Must sign an oath of permanent confidentiality covering all provider and patient related information. Must receive a background check upon hire and be in compliance with the organization's infection control policy for initial and annual Tuberculosis testing. The new employee shall sign and date the job description to affirm the validity of the information herein and to signify compliance with the conditions of employment.

  • Sympathetic, mature, responsible and reliable.
  • Demonstrates proficiency with computer applications (Word, Excel, PowerPoint, Outlook, etc.), online resources, and equipment utilized by the department and institution. Must possess the ability to compose professional correspondence.
  • Must have solid customer service skills both over the phone and in direct interaction with residents, faculty, providers, and staff.
  • Must demonstrate correct spelling and grammar when communicating in writing.
  • Spanish language skills desired but not required.

Education and or/Experience:

  • Undergraduate degree and/or 2-3 years of office administration experience in healthcare and/or education required.
  • Experience with Graduate Medical Education programs preferred.
